Privacy Policy

Deep Tech LDN (“we”, “us”, “our”) organises the Deep Tech London festival and summit. This policy explains how we collect, use and protect your personal data in line with UK GDPR and the Data Protection Act 2018. If you have any questions, email hello@deeptech.london.

What we collect

How we use it, and why we’re allowed to

When you register, buy a ticket, join the waitlist, or apply to exhibit, we may ask whether you’re happy for Deep Tech LDN — and our partners and sponsors — to contact you about relevant events, products or services. You can withdraw that consent at any time by emailing us or using the unsubscribe link in any email we send.

Who we share it with

Some of these providers are based outside the UK, including in the US. Where that’s the case, we rely on their standard contractual clauses or an equivalent safeguard recognised under UK GDPR. We never sell your personal data.

Photography and filming

Our events are professionally photographed and filmed. By attending, you agree that we — and photographers or videographers working on our behalf — may photograph or record you, and use those images and recordings for marketing, our website, social media and press, without further notice or payment. If you’d rather not appear, let a member of the team know on the day, or email us in advance and we’ll do our best to accommodate you.

How long we keep it

We keep your data for as long as we need it to run the event, plus a reasonable period afterwards for accounting, safety records and legitimate marketing purposes — normally no more than 3 years from your last interaction with us, unless we’re required to keep it longer by law. We then delete or anonymise it.

Cookies & analytics

We use minimal, privacy-friendly analytics to understand site traffic. We don’t run third-party advertising trackers on this site or sell browsing data to anyone.

Terms & Conditions

These terms apply to anyone who buys a ticket, registers for, attends, exhibits at, or otherwise takes part in a Deep Tech London event (“the Event”), run by Deep Tech LDN (“we”, “us”, “our”). By registering or buying a ticket, you agree to these terms.

Tickets

Tickets are sold and processed via our ticketing partner. Tickets are personal to the named attendee and non-transferable unless we say otherwise. We may refuse entry to, or remove, any attendee who doesn’t comply with these terms or behaves in a way that puts others at risk.

Refunds & cancellations

You can request a full refund up until one month (30 days) before the Event date. After that point, tickets are non-refundable, though you’re welcome to ask us about transferring your ticket to someone else. To request a refund, email hello@deeptech.london with your order details.

If we have to cancel or significantly change the Event, we’ll offer you a full refund or the option to transfer to a future date. Our liability in that situation is limited to the ticket price — we’re not responsible for any other costs you may have incurred, such as travel or accommodation.

Photography & communications

By attending, you agree to be photographed and filmed as set out in our Privacy Policy above, and to receive communications from us — and, where you’ve opted in, our partners and sponsors — about this and future events.

Code of conduct

We want Deep Tech London to be welcoming and safe for everyone. Harassment, discrimination or disruptive behaviour of any kind won’t be tolerated, and we may remove attendees who don’t meet this standard without a refund.

Sponsorship, partnerships & exhibiting

Nothing on this website — including any pricing, packages, benefits or descriptions shown here — constitutes an offer or a binding agreement. All sponsorship, partnership and exhibiting arrangements are governed exclusively by the individually signed agreement between Deep Tech LDN and the sponsor, partner or exhibitor, and that document always takes precedence over anything shown on this site.

Our liability

We run the Event with reasonable care and skill, but we’re not liable for indirect or consequential losses, or for matters outside our reasonable control (see Force Majeure below). Nothing in these terms limits our liability where it would be unlawful to do so — for example, death or personal injury caused by our negligence.

Force majeure

We’re not responsible for any failure or delay caused by circumstances beyond our reasonable control, including extreme weather, strikes, government action, venue unavailability or public health restrictions.

Intellectual property

All content on this website — branding, copy, imagery and design — belongs to Deep Tech LDN or its licensors and may not be reproduced without permission.

Governing law

These terms are governed by the laws of England and Wales, and any disputes will be handled by the courts of England and Wales.
